Edinburgh Medics’ Reveal SCIO (“Reveal”) is committed to protecting your personal data and ensuring transparency in how we collect, store, and use it. This notice explains how we manage personal information, including photographs from our performances.

What Data We Collect & Why
We collect and store the following personal data to facilitate our events and operations:

Contact details (name, email, phone number) – for communication about rehearsals, fundraisers, and performances.

Cast lists – to organise dance routines and group communications.

Photographs and videos – to provide cast members with access to performance images and, where consent is obtained, for promotional use.

How We Store & Share Photos

Photos are securely stored on our organisation’s Google Drive, accessible only to authorised committee members.

Cast members may request access to their performance photos, which will be manually granted based on the cast register.

Promotional use of any photo requires specific consent from individuals pictured.

Data Retention & Deletion

Photos are retained for 3 years, after which they are reviewed for deletion unless specific consent is given to keep them longer.

Before deletion, cast members will be notified and given time to download their photos.

Individuals may request early deletion of their data by contacting our Data Protection Officer (DPO) at dpo@medicsreveal.org.

Blurring as an Alternative to Deletion
If an individual requests removal from a group photo, we may blur or crop them instead of deleting the entire image. This will only be done if the individual is rendered fully unidentifiable. If they still consider themselves identifiable, a full deletion will be considered.

Subject Access & Data Requests

You have the right to request a copy of the personal data we hold about you. Requests should be sent to dpo@medicsreveal.org, and we aim to respond within 72 hours.

Data deletion requests will also be processed within 72 hours, except where data is required for legal, safeguarding, or security reasons (e.g., complaints or disciplinary matters).
